Welcome to VoiceScore, a Communication Intelligence Platform operated by Voiceover Solutions Group LLC. Your privacy is a foundational commitment — not a legal formality. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By accessing voicescore.ai or using any VoiceScore service, you agree to the practices described herein.

1. Information We Collect

1.1 Information You Provide Directly

When you register, book a session, or communicate with us, you may provide: full name and professional title, email address and phone number, organization name and industry, billing and payment information (processed securely via Stripe), voice recordings and audio samples submitted for assessment, communication and speech data shared during coaching sessions, responses to questionnaires, intake forms, and self-assessments, and feedback, testimonials, or survey responses you voluntarily submit.

1.2 Information Collected Automatically

When you visit our platform, we automatically collect certain technical data, including: IP address and approximate geographic location, browser type, operating system, and device identifiers, pages visited, session duration, and navigation patterns, referring URLs and exit pages, and cookies and similar tracking technologies (see Section 5).

1.3 Information From Third Parties

We may receive limited information from third-party services you connect to VoiceScore, such as calendar integrations for session scheduling or LinkedIn profile data if you opt in to social login. We do not purchase or acquire data from data brokers.

2. How We Use Your Information

2.1 Service Delivery

To conduct your VoiceScore diagnostic assessment and generate your Voice Intelligence Report; to deliver coaching sessions; to issue your VoiceScore Confidence Letter and track your communication progress; and to schedule, confirm, and manage your appointments.

2.2 Platform Improvement

To enhance our assessment framework, develop and improve our scoring algorithms and benchmarks, and conduct internal research and quality assurance reviews.

2.3 Communications

To send service confirmations, receipts, and important account notices; to provide updates on your coaching journey; and to send marketing communications you have opted in to receive (you may opt out at any time).

2.4 Legal and Compliance

To comply with applicable laws, regulations, and legal obligations; to enforce our Terms of Use; and to prevent fraud, unauthorized access, or other harmful activity.

3. Our Data Sale Commitment

VoiceScore will NEVER sell, rent, lease, or trade your personal data or voice data to any third party, for any purpose, at any price. This is an unconditional commitment. Your voice recordings, assessment results, communication profiles, and personal information are never monetized through third-party data transactions. Your data exists to serve your development — not to generate advertising revenue or data licensing income for us.

4. How We Share Information

4.1 Service Providers

We work with trusted third-party vendors who help us operate VoiceScore, including Stripe for payment processing, scheduling tools for session management, email service providers for transactional communications, and cloud hosting providers for secure data storage. All service providers are bound by data processing agreements.

4.2 Professional Coaching Team

Certified coaches and facilitators within the VoiceScore network may access your assessment data solely to deliver your coaching sessions and prepare personalized recommendations.

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our legal rights or prevent fraud.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of all or part of our assets, your data may be transferred to the successor entity. We will notify you before your data is subject to a different privacy policy.

5. Cookies & Tracking Technologies

We use cookies and similar technologies to improve your experience on voicescore.ai. We use: essential cookies required for core platform functionality and security; analytics cookies to understand how users navigate our platform (anonymized); and preference cookies to remember your settings. We do not use third-party advertising cookies or cross-site behavioral tracking cookies. You can control cookie preferences through your browser settings.

6. Data Retention

Account data is retained for the duration of your relationship with VoiceScore and up to 3 years after account closure. Voice recordings and assessment data are retained for up to 2 years to support progress tracking, then securely deleted unless you request earlier deletion. Payment records are retained for 7 years in accordance with financial reporting requirements. Marketing opt-out records are retained indefinitely to honor your preferences. You may request deletion of your data at any time (see Section 8).

7. Data Security

We implement industry-standard technical and organizational security measures including SSL/TLS encryption for all data in transit, encrypted storage for sensitive data at rest, access controls and role-based permissions limiting staff access, and regular security reviews. No method of electronic transmission or storage is 100% secure. In the event of a data breach affecting your rights, we will notify you in accordance with applicable law.

8. Your Rights & Choices

Depending on your jurisdiction, you may have the following rights: Access (request a copy of the personal data we hold), Correction (request inaccurate data be corrected), Deletion (request erasure — "right to be forgotten"), Portability (receive your data in a machine-readable format), Restriction (limit how we process your data), Objection (object to processing based on legitimate interests), and Withdraw Consent (withdraw any consent previously given). To exercise any of these rights, contact us at legal@voicescore.ai. We will respond within 30 days.

9. Children's Privacy

VoiceScore services are intended for individuals aged 18 and older. We do not knowingly collect personal data from children under 18. If we become aware that a child under 18 has provided us with personal data without parental consent, we will take steps to delete that information promptly.

10. International Users

VoiceScore operates primarily from the United States and Nigeria. If you access our platform from outside these countries, your data may be transferred to and processed in the United States. We apply GDPR-aligned data protection principles as our baseline standard for all users globally.

11. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the CCPA as amended by the CPRA, including the right to know, delete, and opt out of sale or sharing of personal information. VoiceScore does not sell or share personal information as defined under California law. To submit a CCPA request, contact us at legal@voicescore.ai.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Policy on our website with a new effective date and, where appropriate, by email notification. Your continued use of VoiceScore after the effective date constitutes your acceptance.
